Field technicians use Control Panel or GIS Works Navigator on the mobile app to document their work by uploading proof directly into workflow placeholders. These placeholders act as checkpoints. Depending on the document type, the submissions are then validated either by a reviewer (such as a manager or quality specialist) or automatically by an AI model that checks the quality against predefined criteria.

Depending on the type of their data, placeholders are designated by specific icons and will appear in the following forms:

Checklists - various measurements, dates, notes, reports.

Media - photos / videos from camera or gallery 

Signature - blank piece of paper you can sign, which can be mapped to exported reports 

Sketch - draw plans, routes, sketches, notes

Document - for any kind of document you'd like to store like PDFs, TXT files

Placeholders can also be organized into folders and subfolders.

Checklists

Checklist placeholders are designed to store answers collected from the field, such as measurements, technician notes, yes/no responses, or dates. Checklist placeholder will offer suitable input method, like calendar, text box, or checkbox according to the expected answer format. Additionally, each checklist includes an optional comment section to provide extra context when needed. 

Step by step process of filling a checklist placeholder:

Media 

Media placeholders store photos and videos, which can either be captured directly using the in-app camera (recommended) or uploaded from your device's gallery. Using the in-app camera automatically includes geo-tags and metadata with your media, and it is required if you want to record videos with integrated routes. If device gallery is used, the file may not contain geo-tags and metadata.

Every media placeholder position can contain set of instructions - how the works should be documented and an example photo. 

Positions may require multiple photos or videos to be marked as complete, with the exact number indicated directly in the position. To turn the position green and clear it, you must meet this minimum required number of media files. 

Photos 

Step by step process of uploading a photo in a media placeholder:

Videos

Taking and uploading videos works very much like uploading photos, but with a few key differences. When recording a video, CloseOut automatically captures the device's geolocation every second and links these data points directly to the exact timestamp in the video track. This helps back-office quality specialist audit quality across the entire footage and recorded path. 

For precisely documenting planned routes, excavated trenches, or aerial network paths, video with standard GPS geo-locating will not suffice. Device must be RTK paired, enabled and connected for a centimeter-level accuracy. 

Step by step process of submitting a video in a media placeholder:

1. Tap on the media placeholder to open it
2. On the bottom of the screen, tap Camera¹ button ( or Gallery to upload from device storage ) 
3. Select video in camera controls, then tap shutter button to record. You can follow vertical and horisontal precision, signal strength, number of satellites connected and type of connection ( GPS / RTK ) live, in the top left corner window of the camera's viewfinder. Map overlay with live positioning can also help you geo-navigate. Walk at a normal, steady pace along the intended path while recording.
4. Tap the shutter button to finish recording
5. Review the video and add an optional comment if needed
6. Tap send to submit 
7. Once uploaded, the video will be undergoing validation. The media placeholder icon will change from gray to green to indicate if the position is complete. In the event of a rejection, you will receive a push notification. Tapping the notification takes you directly to the video, where you can review the decision and the accompanying comment detailing the exact reason for rejection. From there, you can launch the camera or gallery to take a replacement video once the issue has been resolved.

Signature 

Signature placeholders open a digital blank canvas where you can sign. Your signature can later be mapped to formal reports or serve as internal confirmation.

Step by step process of a signature in the signature placeholder:

1. Tap the signature placeholder to the signing screen
2. Write your signature using your finger or an S-Pen
3. Add an optional comment if needed and tap submit
4. Confirmation: Once submitted, the position icon will turn green, and your full name along with the date and time of the signature will be embedded into the record.

Sketch 

Sketch placeholders open a digital blank canvas where you can sketch. Here you can draw diagrams, mark dimensions, location of items, or handwrite notes. 

Step by step process of submitting a sketch in the sketch placeholder:

1. Tap the sketch placeholder to open the blank canvas.
2. Draw your diagram or write notes using your finger or S-Pen
3. Add an optional comment if needed and tap Submit.
4. Confirmation: Once submitted, the position icon will turn green and your sketch will be stored.

Document

Document placeholders allow you to upload and attach external files, such as PDFs, TXT files, spreadsheets, or specs - directly to a position.

Step by step process of submitting a document in the document placeholder:

1. Tap the document placeholder to open the position.
2. Tap Upload. Device storage menu will open up 
3. Choose the file you want to upload
4. Add an optional comment if needed and tap Send.
5. Confirmation: Once uploaded, the documented will be undergoing validation. The document placeholder icon will change from gray to green to indicate if the position is complete. In the event of a rejection, you will receive a push notification.
